We have an exciting opportunity to be part of our grants management function, which sits in our finance team to deliver high quality management and oversight of several workstreams that are supported by funding from government, philanthropy and corporate funding sources.
Position
The kind of work you will do:
Funding from public and philanthropic sources is important for SYSTEMIQ\'s work, and comprises more than half of all project revenues. Management of such grant funding requires ensuring spend is impact-oriented and in compliance with both funders\' contractual requirements and SYSTEMIQ\'s standards.
As Grants Finance Associate you will work closely with our Grants and Partnerships Manager, Grants Finance Managers, Project Control function and Finance team during the entire lifecycle of grant funded projects. You will focus on financial management and compliance on some of our most strategic and impactful grants projects.
This will include:
Project Preparation:
Develop project budgets and financial plans for project grant funding proposals (internal budgeting tool and funder budget formats)
Support our grants project teams to negotiate cost-efficient budgets
Work with Grants Finance Managers, Grants and Partnerships Manager and Project Managers to support uniform budgeting and financial planning for projects funded by our key donors / strategic partners
Ensure project preparation complies with company practice and client\'s financial control requirements
Project Delivery:
Implement internal controls and accounting procedures to ensure compliance with project requirements and all applicable laws and regulations
Support project teams to comply with project\'s specific contractual financial requirements, including the provision of ad-hoc expert advice and guidance on any financial management queries as necessary
Complete monthly financial forecasting and expenditure reconciliations to track cashflows and monitor financial position of our largest grants projects, supporting project planning and progress reporting against project delivery framework
Prepare financial, budgetary and accounting reports to clients, funders and partners as required, ensuring we meet our contractual financial reporting requirements
Liaise with Accounts Receivable to ensure correct invoicing of grants projects
Liaise with Accounts Payable to pay invoices to suppliers
Support large-scale procurement processes for goods and services, ensuring compliance with contractual requirements and company procurement policy
Support the Grants Finance Managers to support project audits, including preparation, field wok and responding to queries
General:
Support company\'s financial controls, financial planning and financial analysis process (including budget forecasting, proposal pipeline monitoring and invoicing)
Contribute to company\'s best practice development for project financial management and expert grants financial management
Contribute to design and delivery of training materials and workshops on grants financial management

Fluent verbal and written English is essential
2+ years\' experience within a finance or project financial management function, including supporting the development of internal financial controls & procedures
1+ years\' experience of leading processes on budgeting and financial reporting of grants projects funded by governments, multilaterals, INGOs and large philanthropy
Knowledge of Generally Accepted Accounting Principles (GAAP) and experience of audits (company and/or project)
Advanced Microsoft Excel skills, and experience with Microsoft Office Suite
Experience using financial software, CRM and project management systems
Ability to maintain a high level of accuracy, with strong process orientation and excellent attention to detail
Ability to communicate complex financial information to colleagues and external stakeholders in a concise and patient manner
Ability to work with confidential material and maintain high standards of discretion
Collaborative team player and can-do attitude, with good communication skills
Ability to work with colleagues in other locations / timezones and manage a varied workload and time-pressured external deadlines across an international company
Interest in working on project financial management for grants projects funded by non-commercial clients in a for-profit environment
Entrepreneurial spirit with the ability to identify opportunities, best practice ideas and new initiatives and to turn them into reality
